Start with your order sources

The biggest time sink in a farm is getting orders from where you sell into where you produce. List every place you take orders — Shopify, eBay, Wix, Etsy, a custom site — and check the tool connects to them, and how. A live connection beats manual CSV, but CSV is a reliable fallback for stores without one.

Check printer compatibility honestly

Match the tool to the printers you actually own. Support is often protocol-based (for example, many machines are reached through Moonraker), so “supports brand X” does not always mean every model. Confirm the specific connection method — LAN, an API key, a local server — and which capabilities you get: status, thumbnails, camera, and which controls.

Decide local vs cloud

Cloud tools are convenient and work from anywhere, but they route printer traffic through their servers and depend on their uptime. Local-first tools keep printer monitoring on your own network, which many farms prefer for privacy and control. Some tools mix both — local printer monitoring with an online account for orders.

Be realistic about automation

“Automation” means very different things: some tools physically eject prints and start the next job; others route jobs to printers automatically; many simply help a human assign and track work. Decide whether you want unattended dispatch (which usually needs specific hardware) or operator-controlled planning, and check the tool actually does what its marketing implies.

Model the total cost

Pricing models vary — per printer, per concurrent job, or a flat plan — so the sticker price can be misleading. Work out the cost at the number of printers you expect to run in a year, not just today. Watch for a free tier that meters the thing you need most.

Weigh maturity against fit

Established tools are more complete; newer tools may fit a specific workflow better and cost less. If a tool is in beta, treat it as such: expect change, test with stores and printers you control, and value honesty about limitations over feature checklists.
